In this Policy we have set out the personal data that we collect from you and about you, how it is used and whom the information is available to.
About Us
Gloucestershire Writers’ Network will be what’s known as the ‘Controller’ of the personal data you provide us with. We only collect basic personal data about you which does not include any special types of information. This does however include name, address, email address and phone number. We are an organisation which connects writers around Gloucestershire and South Gloucestershire and publicises information about writing groups, competitions and events. We allow people to email in their events to add to our calendar on our website and to submit items for news and reviews on our website. We organise a yearly competition associated with The Times and The Sunday Times Cheltenham Literature Festival where people enter poems and stories to win prizes. We take submissions through a form on our website and payment is taken via PayPal. We also accept cheques and postal entries.
Why we need your data
We need to know your basic personal data to provide you with regular Newsletters. You can choose to subscribe and unsubscribe from our mailing list. We also need your personal data when you submit an entry to our yearly competition, when you request to add an event to our calendar and when you submit a news item to us. We will not collect any personal data from you that we do not require.
What we do with your data
All the personal data is processed by us in the UK. Our website is hosted in London, United Kingdom. No third parties have access to your personal data unless the law allows them to do so. We do not sell your personal data onto any third parties.
How long we keep your data
We are allowed under UK law to keep your basic personal data (name, address, contact details) for a maximum of 6 years. However we do not keep your personal data submitted for our competition beyond the 31st December of the year of entry. Your information we use for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information.

We will ensure the request is responded to within 30 days. Your right to access the personal information that we hold about you is not absolute. In the event that we cannot provide you with access to your personal information, we will endeavour to inform you of the reasons why, subject to any legal or regulatory restrictions.
Financial Information
Regarding financial information, we use Stripe for our competition transactions and PayPal for all other electronic transactions and we do not keep any payment details or information.
